Terms of Service

The ground rules for using this site and for working together — what the practice does, what it does not do, how pricing and scheduling work, and how an engagement can end.

  1. Agreement to these terms

    These terms govern your use of this website and any bookkeeping services provided by Hampton Bookkeeping LLC ("Hampton Bookkeeping," "we," or "I"). By using this site or booking a consultation, you agree to them.

    If we go on to work together, you will receive a written engagement letter covering the specific scope, fees, and schedule of your work. Where that engagement letter differs from these terms, the engagement letter controls.

  2. What we do — and what we do not do

    Hampton Bookkeeping provides bookkeeping services: transaction categorization, bank and credit card reconciliation, accounts payable and receivable support, books cleanup and catch-up, QuickBooks Online setup and training, and financial reporting with plain-language review calls.

    We are not a CPA firm, a law firm, or a registered investment adviser. We do not prepare or file tax returns, perform audits, reviews, compilations, or any attest service, and we do not provide legal, tax, or investment advice. Reports and review calls are informational and are meant to support — not replace — advice from your CPA, tax preparer, or attorney. Clean books make that professional’s job easier and cheaper; they do not substitute for it.

  3. Consultations and booking

    The consultation offered on this site is free, roughly twenty minutes, and carries no obligation. Booking a time slot reserves that time and nothing more — it does not create a client relationship or a contract for services.

    A client relationship begins only when a written engagement letter is signed by both of us. Please give reasonable notice by email or phone if you need to cancel or reschedule a consultation.

  4. Fees and payment

    Monthly plan prices shown on this site are starting points in U.S. dollars for typical engagements. Final pricing depends on transaction volume, the number of accounts, the condition of the existing books, and the scope you select — it is quoted in writing before work begins.

    Unless your engagement letter says otherwise, monthly plans are billed in advance for the coming month and one-time projects such as cleanup and catch-up are quoted as a fixed fee, with payment terms stated in the quote. Ongoing work may be paused on accounts that remain unpaid past their due date, after notice to you.

    Prices for ongoing services may change with at least 30 days’ written notice. Current pricing is always the pricing published here or in your engagement letter, whichever is more specific to you.

  5. Your responsibilities

    Good books depend on good inputs. As a client, you agree to:

    • Provide complete, accurate, and timely records — statements, receipts, invoices, and payroll information
    • Grant the software and account access needed to do the work, and keep that access current
    • Review the reports and financial statements delivered to you and flag anything that looks wrong
    • Make your own business, tax, and legal decisions, with advice from the appropriate professional
  6. Accuracy of the work

    Our work is based on the records and information you provide. We do not audit or independently verify what you give us, and we are not responsible for errors that result from incomplete, inaccurate, or withheld records.

    If an error in the books is discovered and it originated with us, tell us and it will be corrected promptly at no additional charge.

  7. Confidentiality

    Your financial information is treated as confidential. It is not disclosed to anyone outside the practice except to service providers who help deliver the work, to people you direct us to share with such as your CPA, or where disclosure is required by law. How that information is handled is described in the Privacy Policy.

    You retain ownership of your financial records and data. At the end of an engagement, you can request a copy of your books and supporting work product.

  8. Third-party software

    Engagements often rely on third-party software, most commonly QuickBooks Online, along with bank feeds and document storage tools. Those services are provided by their own companies under their own terms and pricing, which you are responsible for maintaining where the subscription is in your name.

    We are not responsible for outages, data loss, pricing changes, or errors caused by third-party software or by a financial institution’s data feed.

  9. Use of this website

    The content of this site — text, layout, design, and graphics — belongs to Hampton Bookkeeping and may not be copied or reused commercially without permission. Information here is general and is not advice about your specific situation.

    You agree not to misuse the site: no attempts to gain unauthorized access, no automated scraping or bulk submission of the booking form, and no interference with its normal operation.

  10. Disclaimers and limitation of liability

    This website is provided "as is," without warranties of any kind. While every effort is made to keep the site accurate and available, it may occasionally be unavailable or out of date.

    To the fullest extent permitted by Virginia law, the total liability of Hampton Bookkeeping for any claim arising out of the services is limited to the fees you paid for the services giving rise to the claim in the three months before it arose. Neither party is liable to the other for indirect, incidental, or consequential damages, including lost profits. Nothing here limits liability for fraud, willful misconduct, or anything else that cannot be limited by law.

  11. Ending an engagement

    Either of us may end an ongoing engagement with 30 days’ written notice. Fees for work already performed remain payable, and prepaid fees for services not yet delivered are refunded on a prorated basis.

    An engagement may be ended sooner if the relationship requires work that is unlawful, or if we are asked to record transactions in a way that would misrepresent the business. On termination, we will hand back your records and provide a reasonable transition to your next bookkeeper.

  12. Governing law

    These terms are governed by the laws of the Commonwealth of Virginia, without regard to its conflict-of-laws rules. Any dispute will be brought in the state or federal courts serving Hampton, Virginia. We will each make a good-faith effort to resolve a disagreement by talking it through before either of us files anything.

  13. Changes to these terms

    These terms may be updated as the practice changes. The date at the top of this page shows the current version, and continuing to use the site after an update means you accept the revised terms. Changes affecting an active engagement will be communicated directly.
