Who this policy covers
Hampton Bookkeeping LLC ("Hampton Bookkeeping," "we," or "I") is a bookkeeping practice based in Hampton, Virginia, serving Hampton, Newport News, Norfolk, Virginia Beach & surrounding Hampton Roads. This policy explains what information is collected through this website and in the course of providing bookkeeping services, how it is used, and the choices you have.
It applies to this website and to the day-to-day handling of client records. It does not cover third-party websites or software you may reach from links here — those have their own policies.
Information you give us
When you book a free consultation through the contact form, you provide the following, and nothing more is required:
- Your name and email address
- Your business name and the service you are interested in
- Anything you choose to write in the notes field
- The date and time slot you select for the call
Information you send us another way
If you email or call instead, we hold whatever you share in that message — including your phone number if you provide one.
Once an engagement begins, you will share business financial records: bank and credit card statements, invoices, receipts, payroll summaries, and access to accounting software such as QuickBooks Online. These are handled as confidential client records and are used only to perform the bookkeeping work you have hired us for.
Information collected automatically
This site does not run advertising trackers, analytics pixels, or third-party marketing cookies, and it does not build a profile of your browsing.
Our hosting provider keeps standard server logs (IP address, browser type, pages requested, timestamps) for security and reliability. Web fonts on this site are served by Google Fonts, which means your browser requests those font files from Google and Google receives your IP address as part of that request.
How your information is used
Information collected here is used only to:
- Schedule, confirm, and prepare for your consultation
- Answer your questions and follow up about services you asked about
- Perform, deliver, and support the bookkeeping services you engage us for
- Send invoices and handle payment for those services
- Keep records required by law and by professional practice
- Keep the site secure and working correctly
What we never do
We do not sell, rent, or trade your personal information or your financial records. We do not share them with advertisers, data brokers, or marketing lists, and we do not use client financial data for anything other than serving that client.
You will not be added to a mailing list because you booked a call.
When information is shared
Your information is shared only in these limited situations:
- Service providers who help run the practice — website hosting and the database that stores consultation bookings, accounting software such as QuickBooks Online, email, and payment processing. Each receives only what it needs to do its job.
- People you direct us to work with, such as your CPA or tax preparer, when you ask us to share your books with them.
- Legal requirements — if we are required to respond to a valid subpoena, court order, or other legal obligation, or to protect against fraud or misuse.
- A business transfer — if the practice is ever sold or merged, records may transfer to the new owner, subject to this policy.
How information is stored and protected
Consultation bookings are stored in an access-controlled database operated by our hosting provider. Client financial records are kept in the accounting software and secure storage used for your engagement, with access limited to those who need it to do the work.
Access to accounting software is used strictly within the permissions you grant, and we ask that credentials be shared through the software’s own invitation or access-sharing features rather than sent over email.
Reasonable administrative and technical safeguards are used to protect your information. No method of transmission or storage is perfectly secure, so absolute security cannot be guaranteed.
How long information is kept
Consultation requests are kept only as long as needed to follow up and to keep a basic record of inquiries. Client financial records and related work product are retained for at least seven years after the engagement ends, consistent with standard financial recordkeeping practice, unless a longer period is required by law.
You may ask that inquiry information be deleted at any time; records we are required to retain will be kept until that obligation ends.
Your choices and rights
You can ask what personal information we hold about you, ask for a correction, ask for deletion where we are not required to keep it, or ask for a copy of the records you provided. Virginia residents may have additional rights under the Virginia Consumer Data Protection Act; we honor these requests regardless of whether that law applies to a practice of this size.

Children’s privacy
This site and these services are meant for businesses and the adults who run them. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided information, contact us and it will be deleted.
Changes to this policy
This policy may be updated as the practice or the law changes. The date at the top of this page shows when it last changed, and the current version is always posted here. Material changes affecting active clients will be communicated directly.
